How we keep your personal information safe.

 

Personal information means any information that relates to you that could be used, either directly or indirectly, to identify you.

Your Contact Details

If you are in contact with us and provide us with your contact details we assume that you are happy for us to keep those details electronically and indefinitely. We will use this information to communicate with you about club activities. If you don’t want us to keep your contact details then let us know and we will remove it from our records. 

 

All other aspects of protecting your data are the same as for our member’s personal information.

 

Storage of Membership Information

When you become a member of the Adur Sailing Club we have to collect certain information about you in order to operate the club. This information will include : name, address, date of birth, gender, telephone, email address, bank details if your payment method requires it and medical information. 

 

Your personal information may be stored by us either electronically or on paper.

 

The only people that will have access to your information are the organisers of the club if they need to see it for their club duties.

 

We wont pass your information on to any individuals or organisations unless: you ask us to; we are legally required to; we must in order to preserve the health and safety of any individual.

 

We will not store this information if you do not give your consent to do so on the membership form but then we would not be able to accept your application for membership.

If you decide to leave us then we will keep your contact information and records of your club involvement unless you ask us to delete it. We will not keep your medical information after you have left.

You are entitled to see your personal information that we hold. If you would like us to send you the information that we have then please contact us.

We will destroy all the information about you if you make a request but this might mean you cannot continue as a club member.

 

Let us know if any of your personal information we have is incorrect and we will update it.

We will inform you if a data breach means that any information about you has been passed to others without your consent.

 

Adur Sailing Club makes use of cloud storage services. We may store any of your contact, medical, bank or house address information in a cloud service or on electronic devices used by club organisers. If you have emailed this information to us it will be stored on servers outside of our control.

 

Any information stored electronically will be secured by password protection or by restricted physical access to the storage device.

 

Any information stored on paper will be protected by restricted physical access. The exception to this is the medical and contact information that is kept on safety boats and onshore during club sessions.

Photographs 

As a member you will have consented to the use photographs of you for publicity and marketing, including on social media. We may continue to use those photographs after you have left but we will stop this if you make a request to us.

Website Information

In general, you can browse our web site without giving us any personal information. As we add more content and functionality we might collect personal information through the website when you explicitly give it to us to sign up for a newsletter, to create a membership login or to sign up for a forum. We will only use this information for the purpose specified when you sign up. We may use it to contact you to make sure we have your correct details or to provide additional information.

We use several products to analyse traffic to this web site in order to understand our visitor’s needs and to continually improve our site for them. We collect only anonymous, aggregate statistics. For example, we do not tie a specific visit to a specific IP address.

 

Children and Privacy

If you are aged 13 or under, you would need to get permission from your parents or guardian to create any type of registration on our site.
